Managing Families and Contacts

Families are how Nova groups students together and manages parent/guardian contacts. Invoices, messages, and portal access are all tied to the family.

Creating a family

  1. Go to Students and switch to the Families tab
  2. Click + Add Family
  3. Enter the family name (usually the last name)
  4. Add contact information:
    • Parent/guardian name
    • Email address (used for invoices, messages, and portal login)
    • Phone number
    • Address (optional)
  5. Click Save

You can also create a family on the fly when adding a new student.

Adding students to a family

When you create or edit a student, you can assign them to an existing family. This is how you group siblings — all students in the same family share one invoice and one portal login.

Family contacts

Each family can have multiple contacts (e.g., both parents). The primary contact email is used for:

  • Sending invoices
  • Message notifications
  • Portal login credentials
  • Lesson reminders

Messaging a family

You can message a family directly from their profile:

  1. Open a family’s profile
  2. Click the Message button
  3. Type your message and send

The message will appear in both your Messages inbox and the family’s portal.

Deleting a family

To delete a family, open their profile and click delete. You’ll be asked to confirm.

Deleting a family does not delete their students. The students will become unassigned and you can reassign them to a new family.
