Importing Students from a Spreadsheet

If you’re migrating from another tool or have a roster in a spreadsheet, Smart Import lets you add all your students at once.
How Smart Import works
Smart Import uses AI to parse your spreadsheet data. You don’t need to format your columns in a specific way — just paste your data and Nova will figure out which columns map to which fields.
Importing students
- Open your spreadsheet (Excel, Google Sheets, CSV, etc.)
- Select and copy all the student rows (including headers if you have them)
- In Nova, go to Students and click Import
- Paste your data into the import box
- Nova will parse the data and show you a preview
- Review each student’s information and correct any mismatches
- Click Import to create all students
What fields are recognized?
Smart Import can detect:
- Student name (first, last, or full name)
- Email address
- Phone number
- Instrument
- Skill level
- Lesson duration
- Lesson price
- Family name
- Notes
Including column headers in your paste makes the parsing more accurate. Headers like “Name”, “Email”, “Instrument” help Nova map your data correctly.
After importing
Once imported, review your students on the Students page. You may want to:
- Assign students to families (if not already matched)
- Set up recurring lessons on the Calendar
- Enable portal access for each family
