Auto-Invoicing with Recurring Templates

Recurring invoice templates let you automate your billing. Set it up once, and Nova generates and sends invoices on your chosen schedule.
Creating a recurring template
- Go to Billing
- Click the Recurring tab
- Click + New Recurring Invoice
- Select the family
- Configure the billing details:
- Frequency (weekly, monthly, etc.)
- Start date and optional end date
- Line items and amounts
- Due date offset (e.g., due 7 days after issue)
- Choose whether to auto-send or create as draft
- Click Save
How it works
On each billing cycle:
- Nova automatically generates an invoice from your template
- If auto-send is on, the invoice is emailed to the family immediately
- If auto-send is off, the invoice is saved as a draft for your review
Managing recurring templates
From the Recurring tab, you can:
- Edit a template to change amounts, frequency, or line items
- Pause a template temporarily (e.g., during summer break)
- Resume a paused template
- Delete a template to stop future invoices
Pausing a template is better than deleting it if the family will resume lessons. You keep all the settings and just flip it back on.
Attendance-based billing
If you bill based on lessons attended rather than a flat rate, you can set up attendance-based billing rules. This automatically calculates invoice amounts based on how many lessons a student attended in the billing period.
- In the recurring template, choose Attendance-based billing
- Set the per-lesson rate
- Nova counts attended lessons in each billing period and generates the invoice accordingly
